Liferay is the content management system (CMS) we use to power your intranet.

As our intranet document stores are central in ensuring staff are accessing the same information, it is important that access to this vital resource is optimised! By downloading the Liferay Sync mobile app you can now access the intranet document store offline from your iOS/Android tablet or smartphone. We have produced this simple guide to help you set up this great feature.

Liferay Sync for Apple Devices

Downloading Liferay Sync from the Apple App store

Start by opening the Apple App Store, opening the search function, and searching for 'Liferay sync'.

To download the app, press the free button, followed by install. You may be asked to authenticate the download, depending on your personal settings. Following these actions, the app store will minimise and Liferay Sync will automatically begin downloading.

When the download is complete, open up the application.

Liferay Sync for Android Devices

Firstly, open up your device's app store (i.e. Google Play, Android Market, Samsung Apps, etc) and search for Liferay Sync.

To download the app, press the Install button, and allow Liferay Sync access to your Photos, Meida and Files if prompted by your mobile device. You may be asked to authenticate the download, depending on your personal settings. Following these actions, Liferay Sync will automatically begin downloading and will be displayed on your device's home screen.

When the download is complete, open up the application.

Liferay Sync requires Android version 2.3.3 or later to run and is compatible with most devices running Android. App size: 553k.

Setting up Liferay Sync on your device

With the app now open, we need to link it to the server. Navigate to the settings menu at the bottom right of the screen and enter your Intranet log-in credentials. In the server field, enter the Liferay portal's URL (i.e. and press sign in.

To check that it has worked, navigate to the documents page and you should now be able to access the documents stored on our intranet. If for some reason this has not worked, please check the details you have entered are correct.

We strongly recommend adding a pin code to the application and activating the encrypted files function to protect our sensitive information. You can add these security features in the settings menu.

Using the Liferay Sync App

Getting around the app and downloading documents

As Liferay Sync is designed to allow easy and quick mobile remote access to our organisation's online document repository, Liferay have kept it's design very simple and intuitive. The app's user interface will reflect your devices, meaning moving around the app is very similar to the menus on your mobile device (i.e. in your devices general settings). Take a few minutes to familiarise yourself with Liferay Sync's layout.

The app's 'home page' is the highest level of the document store. You can click on the folders and sub-folders to open them and access their contents. To download and open items, simply click on individual files to begin the download process. It really is that simple!

Adding, moving, renaming and deleting documents

A great feature of Liferay Sync is the ability to add folders and files from your mobile device, whether in the office, at home, or in a meeting miles away from your base. The best part is it will be right there waiting for you when you access the intranet from your desktop/laptop! For iOS devices, you can add new files and folders by using the plus (+) symbol which will open up a sub-menu asking you to choose the file(s) you want to add.

To create a new folder, select that option, give it a name and press 'create'.

To add an existing file already saved to your device, select Choose Existing and select the relevant file from your device.

You can check that the file has uploaded by finding it in the menu and dragging the screen downwards to trigger a refresh. If your document is still there, the upload was a success.

To move, rename and delete documents, press the edit button at the top of the screen. This will open up three options at the bottom of the screen; move, rename and delete. Simply select the files/folders that you wish to edit, which will place a blue circle to it's left hand side to indicate it has been selected, and choose the desired option. Choosing move will open up another menu. You need to navigate to the place you wish the files to be moved to and press Move.
